We are seeking a detail-oriented Office and Accounts Administrator to join our team. In this role, you will be managing administrative operations, assisting the contracts manager in day to day duties and providing general accounts administration. Your proactive approach will help streamline processes, support team members, and maintain the integrity of our construction and accounting systems. Join us as an Office and Accounts Administrator to play a key role in keeping our operations running smoothly in this constantly evolving work of Construction.

Responsibilities

  • Answering the telephone, filing, managing the general email account, coordinating office resources and supporting staff to ensure a smooth and organised workplace.
  • Liaising with clients, subcontractors and suppliers daily to organise site visits, ordering parts, and managing the calendar/scheduling board.v
  • Entering bills and invoices into our construction management software and allocating costs to ongoing contracts, also raising customer invoices for these contracts.
  • Preparation of jobs cards and folders for the contracts manager for each project.
  • Being the first port of call for clients for enquiries and complaint processing.
  • Supporting the external bookkeeper with the following tasks – sourcing missing receipts and documents, allocating customer receipts in Xero, chasing of unpaid invoices.
  • Producing a supplier payment run list for fortnightly + monthly payment runs.
  • Assisting colleagues in other areas of the company as required.

Skills

  • Excellent organisational skills with the ability to multitask and prioritise tasks efficiently.
  • Effective communication skills to liaise with vendors, team members, and management
  • Attention to detail to ensure accuracy of administrative tasks.
  • Prior experience in office administration or bookkeeping is preferred but not mandatory.
  • Experience using Xero and Construction Manager would be an advantage but not essential as training will be provided.
